This policy explains how The Women’s Wellbeing Group (“we”, “us”), part of The Beauty Aesthetics Group, collects and uses personal information through this website, thewomenswellbeinggroup.co.uk. What we collect and why

Website enquiries

If you send us a message through the contact form, we collect your name, email address and the content of your message so that we can reply to you. We keep enquiries only for as long as needed to deal with them and any follow-up.

Registering your interest in membership

If you register your interest in membership, we collect your first name, email address and the preferences you tell us (for example, whether you’re interested in online or in-person membership and your nearest location). We use this to contact you about membership when it launches.

Email updates (opt-in only)

We will only send you news about events, programmes and membership if you have actively ticked the box to say you’d like to receive updates. Consent boxes on this website are never pre-ticked. You can unsubscribe at any time using the link in any email, or by contacting us.

Booking a session

When you book a session on this website we collect your first and last name, email address, mobile number and age, and, only where it is relevant to that session, your baby’s date of birth (Mum & Baby sessions) or how many weeks pregnant you are and your due date if you choose to give it (Pregnancy sessions). We use this to run the session safely and appropriately, to send you a confirmation (or waitlist) email, and to contact you about that booking, for example if it changes or a waitlist place becomes available. We do not add you to any marketing list unless you tick the separate marketing box. We do not ask for, and please do not send, any other medical information.

Booking information is stored securely in our booking database, hosted in the United Kingdom (London) by Supabase, and is only accessible to our team. We keep it for as long as we need it to run the session and deal with any follow-up, after which it is deleted or anonymised. Occasionally we may list an event on a third-party platform such as Eventbrite; where a booking link takes you off this website, that provider’s own privacy terms apply.

Technical information

Our hosting provider may record basic technical information, such as your IP address and browser type, in server logs for security and to keep the website running. This website does not use advertising or tracking cookies.

Medical and sensitive information

Please do not send us personal medical or other sensitive information through this website. Our contact and interest forms are not designed for it, and we do not collect health information online. For any medical concern, please speak to your GP or a qualified healthcare professional.

Sharing your information

We do not sell your personal information. We share it only with trusted providers who help us run this website and our communications, for example our website hosting provider, our booking database provider (Supabase), an email service used to send booking confirmations, and an email service if you have opted in to updates. These providers process data on their own terms and may hold it separately from us. Some may be based outside the UK; where that is the case, appropriate safeguards apply.

How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected: enquiries until they are resolved; membership interest until membership launches and you have been told about it (or until you ask us to remove you); and marketing details until you unsubscribe.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw consent at any time. To exercise any of these rights, please contact us. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
